Senior Customer Relations Executive, £Competitve, Surrey. ref: V446/2527

A leading tour operator are looking for a senior customer relations executive to handle to lead a small team to resolve customer complaints fairly, in line with agreed guidelines and minimum cost to the company, and deliver a high level of Customer Service, with the objective of long term customer retention. You will carefully monitor all areas on a weekly basis and plan workloads in advance, ensuring all areas are adequately covered, achieve set team targets, by actively monitoring and encouraging daily progress/call resolutions and ensure that the team carefully manage their own cases on the database and assume overall responsibility for holds being sent on time. You will handle and resolve escalated telephone referrals and resolve correspondence as necessary, in writing and by phone. You will conduct regular ad-hock checks and 1-1 training with staff, ensure complaints are assessed fairly and that recovery payments are made to clients and make sure that recoveries are made from suppliers when appropriate. You wil ensure satisfactory investigations are carried out and prompt replies are sent, to ensure files are replied to within ABTA guidelines and preferably within departmental guidelines, work closely with Senior Legal Co-ordinator and ensure that all monthly reports and daily/weekly figures are provided to Management on time, and keep up to date of all legal and industry matters. It will also be part of your role to support, coach and develop your team and provide general advice to your team members. The successful candidate will have experience of working in a customer relations environment, and whilst preferred people management skills aren't compulsory, and could prove an excellent opportunity for a customer relations executive to take there next step in there career.

A luxury tour operator are looking for a Contract Loading Assistant to join there award winning team. You will be responsible for the accuracy and timeliness of the loading and maintenance of supplier contract information onto the company database. This will see you accurately load and amend supplier contracts into the company database in line with given deadlines including contracts for, packages, car hire & motor homes, hotels, transfers, excursions, transport, and special offers. You will need to check contracts loaded by other team members onto the database against original supplier contracts and correct any errors found, identify missing or incomplete contracts or information and request from the relevant Product Co-ordinator and notify Senior Co-ordinator where missing or incomplete information is likely to impact given deadlines. Other duties will see you investigate and resolve queries from Cost of Sales and Business Analysis, set up ex room types for outbookings and hotel closures when requested by Operations, action failed and missing messages/releases and file early-bird lists. The successful candidate will be able to work to a high level of accuracy and attention to detail, proven data entry skills, with the ability to interpret supplier contracts and have strong communication and numeracy skills. The successful candidate will have ideally worked in an administration or data entry environment and have a close attention to detail.

A late sales executive is required to join the sales team of an expanding tour operator. He/She will maintain sales rates to achieve targeted load factors for specified destinations and achieve financial and targeted load factors of guaranteed bed stock. He/she identify excess/shortfall of guaranteed bed stock and implement a strategy for an alternative distribution of sales and manage the beds to seats ratio ensuring the correct mix of beds for relevant market conditions. You will provide accurate management information and provide a weekly report of 'dead' seats to be promoted through Seat Sales. He/she will maintain the flow of communication between key personnel and departments in order to achieve company and departmental objectives and provide competitive prices for various advertising mediums. The successful person will be motivated, numerate and results focused with a high standard of communication skills and ability to communicate at all levels. You will work alongside the Co-ordinator for Air Inventory, and your main priority will be to ensure that there is sufficient air space at all times. You will set up flights in the in-house system, confirm allocations from airlines, produce statistics and help deal with general queries both internally and from our airline partners. You will work from the queues and book extra flights as required, answering day to day queries from the sales teams. You be taking responsibility for all aspects of our operations including dealing with overseas suppliers, finding workable solutions to operational issues that arise and dealing with clients both in the UK and whilst overseas on tour. You will also be responsible for managing the freelance tour managers, including scheduling/booking them for planned tours and being their first point of contact when they are on tour, providing an exceptional level of customer service and managing any operational or client issues, pre, post and during tours, including liaising with reservations and admin on operational changes to our itineraries. Post departure you will be required to respond to all client correspondence in a timely manner whilst adhering to company guidelines and ABTA regulations and keep statistical reports up to date including reviewing and reporting all client questionnaires and feedback and highlighting potential issues. The successful candidate will be working in a friendly team who all support each other, but you’ll need to be super-organised, very confident and highly self-motivated. Working on your own initiative and identifying action that needs to be taken, as opposed to expecting to be briefed, is essential to the role. A leading luxury Tour operator are looking for a reservations manager to help lead there sales team to even greater success. Your main responsibility will be to effectively manage the reservations department, ensuring that the reservations staff carry out their duties, deliver team sales targets and that a first class customer service is provided at all times. You will be required to set weekly passenger targets for the team, and that this is evenly distributed. You will need to constantly monitor call stats /abandoned calls, providing inspiration, motivation and constructive criticism, training and coaching to help the team develop further, achieve results and improve sales figures. It will be necessary for you to assess monthly sales targets, calculate commission earned by agents and provide daily booking sheets/cancelled bookings for call conversion statistics. You will manage all staffing issues, including staffing rostas, sickness, annual leave, discipline and providing one-to-ones on a regular basis. This will lead you to further develop the team through coaching, counsel and training (both one-to-one, team building, and product/sales training), whilst also assisting the team with difficult tasks and overflow work. The role will see you covering several key areas including, Pre-Trip Advice, Credit Control, Ancillary Revenue Sales, Customer Questionnaire Feedback, and Post-Travel enquires. This will see you receiving enquiries from customers relating to trip content, travel and visa advice, and also taking extra bookings for car hire, insurance and airport parking. You will be required to take payment for these, and process them correctly, whilst also contacting clients for any payments relating to outstanding bookings. When a customer has returned from there trip you will also be responsible for any customer questionnaire feedback and providing feedback to any requested information; you will also record and acknowledge customer complaints, and ensure that it is passed on to the right department, that it is dealt with in the required timescale and also assist with the response. Other duties that you will be expected to undertake will include helping with overflow sales calls, generating new ideas and initiatives, and participating in ad-hoc projects. This is a highly varied and interesting role whereby you will continuously source, contract and deliver product, as well as maintaining the presentation and keeping information up to date of our clients current portfolios. You will have responsibility for the contracting all products and other ancillary products for our client. This will see you liaise and develop a good business rapport with suppliers to help with the negotiating of prices so that they meet the company's margin targets whilst remaining competitive on the open market. Assist the reservations department with day to day contract and product queries as well as product training, ensure accurate and timely administration of product changes. You will prepare products for uploading onto the website - including preparing written descriptions/details and sourcing photos, checking thoroughly for accuracy. Produce monthly statistics detailing company sales performance, monitoring the filling up of guaranteed properties so that guarantee objectives are achieved. You will be actively sourcing new products in the existing range, as well as helping to facilitate product expansion and development and assist in looking at future commercial opportunities. You will ensure that clients are fully advised on the options that are open to them and on the different destinations and tours that are in the brochure, ensuring all information is given to the client promptly and accurately. You will look after all aspects of the sales process and confirm bookings, including invoicing, taking payment within set times, and ensuring any deviant requests from clients are confirmed, e.g. hotels, excursion tickets, and flights. A Villa's Consultant is required by a well established holiday specialist to make reservations selling Luxury Villas and Apartments. You will be involved all aspects of selling villas and apartments. As a result you will be answering the telephone and dealing with customer enquiries by phone, whilst responding to e-mail enquiries from customers. You will be taking reservations from customers by e-mail or phone with an emphasis on recommending, as closely as possible, a suitable villa or apartment appropriate to the customer’s requirements and that of his / her party. Once a sale has closed you will be required to follow through the booking procedure by advising the supplier of the booking, and ensure that the correct documentation e.g. an invoice is sent to the customer and payment is collected. You will be given full product training to ensure that you familiarise yourself with the product in order to effectively sell the properties to customers. You will become involved with suppliers and may from time to time have to deal with any questions/queries from them as well. You will also be required to update databases during quiet periods and help prepare properties to sell for the following season, and deal with special requests. The successful candidate will have a pleasant telephone manner, with good sales skills, experience in working with computer reservations systems or be computer literate with Microsoft Windows applications. You will need to have excellent communication and organisational skills, with good administrative skills.
